Events Planner (NO POSITIONS AVAILABLE)

JOB DESCRIPTION:

We are currently seeking a successful and enthusiastic event planner to manage and produce events from conception through completion. The ideal candidate will be committed to providing outstanding customer service and organizing unique, memorable events that are of the highest quality. He or she should be passionate about hospitality, detail oriented, and highly creative. This role also requires excellent leadership skills and the ability to delegate responsibilities while overseeing the big picture. This is a full-time position within a growing and thriving events company.

REPORTS TO: Catering Manager

JOB SUMMARY:

The Event Planner is responsible for the planning and execution of many concurrent events with a seamless turnover from sales to operations and back to sales. Duties involve negotiating and coordinating budgets, vendors, decor, menus, wines and libations, entertainment, tenting, VIPs, off-property events, and all related requirements for our clients, maximizing revenues and profits while ensuring the safety and quality of our services.

The Event Planner is an integral member of the Swift + Company catering team.

RESPONSIBILITIES (include but not limited to):

+ Familiarity with all stages of event planning, design and production of events
+ Book and sell catered events
+ Initiate friendly welcoming and passionate customer service with every client, build rapport and trust
+ Ability to successfully manage all event elements within a timeline and budget, with oversight skills to manage catering, event staff, event decor, event rentals, entertainment, transportation, tenting, various vendors, etc.
+ Answering phones / directing inquiries; miscellaneous errand running; maintaining an organized desk
+ Carrying out specific projects and research by deadline, following up on results
+ Responds to customer service problems and resolves complaints and/or refers complaints to the appropriate department
+ Attends industry related functions as assigned by manager
+ Fill in for other positions, when necessary, for smooth operation of the business
+ Applicant must be able to work nights, weekends and holidays as events usually fall on the weekends
+ Manages beverage sales in catering department. Includes: ordering all beverage product for events; making spreadsheet for beverage delivery to events; recording all consumption / usage of product after events; creates and organizes specialty drinks for events; meets with beverage sales teams; updates S+C wine list on seasonal basis; update beverages costs and manage beverage inventory
+ Follows all procedures for safety violations and injuries
+ Adheres to all company policies, procedures, rules and regulations in written or verbal form
+ Attends production meetings
+ Other duties to be determined

REQUIREMENTS:

+ Four-year college degree preferred
+ Minimum of 5 years industry experience preferred
+ Previous department experience in a hospitality/hotel/catering/wedding environment
+ Must maintain a professional personal appearance
+ Proficient knowledge of Microsoft Office Suite; strong MAC skills
+ Ability to work flexible schedules, including nights, weekends and holidays as required
+ Ability to deliver an exemplary service level which creates an atmosphere that makes our clients want to return, giving each client a positive, memorable experience
+ Commitment to routinely go above and beyond expectations
+ Must present an image of excitement and enthusiasm, while being able to project a professional appearance and demeanor
+ Excellent interpersonal, organizational and communication skills

+ Timely return of responses to customers, orders and information request

+ Be able to adhere to assigned schedule as business dictates
+ Must be able to speak English clearly and write legibly. The ability to speak Spanish is a plus
+ Must be able to lift approximately 40 lbs.
+ Must pass company drug screens / background check
+ Must maintain an acceptable attendance record
+ Must be able to provide, understand and complete instructions furnished in written, oral or scheduled form
+ Must be highly motivated with ability to work independently
+ Must be detail-oriented, dependable, and possess a strong work ethic
+ Must have valid Texas driver license and ability to drive catering vans and trucks as required
+ Knowledge of F&B preparation techniques, health department rules and regulations, liquor laws and regulations.
+ TABC certified
