Rental Sales Assistant (NOW INTERVIEWING)

REPORTS TO: Director of Sales

RESPONSIBILITIES (include but not limited to): 

The Rental Sales Assistant is an integral member of the Swift + Company team. Responsibilities include but are not limited to:

+ Attends walkthroughs on job sites as needed

+ Use of software to input client information

+ Use of software to build rental quotes, invoices, contracts

+ Assist in outside sales calls for rental department as needed

+ Miscellaneous errand running

+ Miscellaneous 3rd party ordering of specialty items for events

+ Carrying out specific projects and research by deadlines, following up on results

+ Acting as an event production assistant the day of events as needed

+ Event management-direct interaction with clients and following up with clients

+ Train to become familiar with all stages of event planning, design and production of events

+ Answering phones / taking detailed information for inquires to send to Director of Sales; maintaining an organized desk

+ Respond to customer service problems and resolves complaints and/or refers complaints to the appropriate department

Marketing Production Coordinator (NOW INTERVIEWING)

MARKETING PRODUCTION ASSISTANT

Swift + Company is looking for a reliable and detail-oriented individual whose main responsibility is to assist the Marketing Manager with a variety of marketing, advertising, sales, business development, PR, event, printing, and organizational duties. Other job duties will be assisting in receiving, fulfilling, and shipping orders for The Fab Fête, an online soufflé e-commerce business. This is a position representing both Swift + Company and The Fab Fête brands.

JOB SUMMARY, ESSENTIAL DUTIES AND RESPONSIBILITIES: 

+ Assist with social media management including generating, editing, publishing, and sharing content on social platforms on both company accounts: Swift + Company and The Fab Fête.
+ Aid in creating digital and print assets for newsletters, events, and social media
+ Assist with website updates on a regular basis including the addition of photography and text, inventory updates, product descriptions, etc.
+ Storing, editing, updating, and managing photo libraries
+ Source and manage supplies, printed materials, and event materials
+ Handle miscellaneous projects as requested
+ Assist with ordering of supplies for Swift + Company and The Fab Fete

REPORTS TO: Director of Operations and Dispatch

The Rental Delivery Driver is responsible for but not limited to the following:

+ Delivering and picking up of catering rentals and equipment to and from
clients’ event sites in a timely and safe manner
+ Coordinating workload to meet client’s requirements while achieving
optimum productivity
+ Communicating effectively with the Director of Warehouse Operations, the warehouse supervisor, dispatcher, the sales team, and the warehouse staff, informing and updating them regularly to guarantee that the sales and client’s objectives are met
+ Following systems and procedures outlined in the Swift + Company manual
+ Coordinating with dispatch and Warehouse Supervisor to schedule daily deliveries and pick-ups.
+ Ensuring delivery and pick up is always on time
+ Drive vehicle to and from destinations, adhering to all traffic laws
+ Loading and unloading delivery rentals
+ Comply with all OSHA safety requirements
+ Maintain vehicle in good working condition
+ Maintain vehicle in clean and fueled readiness condition including pre and post trip inspection

Catering Sales Event Planner (NOW INTERVIEWING)

JOB DESCRIPTION:

We are currently seeking a successful and enthusiastic catering sales event planner to manage and produce events from conception through completion. The ideal candidate will be committed to providing outstanding customer service and organizing unique, memorable events that are of the highest quality. He or she should be passionate about hospitality, detail oriented, and highly creative. This role also requires excellent leadership skills and the ability to delegate responsibilities while overseeing the big picture. This is a full-time position within a growing and thriving events company.

RESPONSIBILITIES (include but not limited to):

+ Familiarity with all stages of event planning, design and production of events
+ Book and sell full-service catered events
+ Initiate friendly welcoming and passionate customer service with every client, build rapport and trust
+ Successfully manage all event elements within a timeline and budget, with oversight skills to manage catering, event staff, event decor, event rentals, entertainment, transportation, tenting, various vendors, etc.

This position will have overall responsibility for the successful maintenance of Swift + Company inventory.

LOCATION: Swift + Company  Rental Warehouse 1919 Edwards Houston, Texas 77007

REPORTS TO: Rental Warehouse Manager and Dispatch

Rental Warehouse Team members are responsible for the following:

+ Maintains inventory of supplies
+ Timely return, processing, cleaning and re-stocking rentals into inventory
+ Knowledge of how to take care of each rental item and where it is located
+ Keeping up with all items we have in inventory, knowing names, etc.
+ Maintaining up to date knowledge of the rental industry
+ Communicating effectively with warehouse team members and dispatch by informing and updating them regularly to guarantee that the clients/customer objectives are met
+ Following all systems and procedures outlined in the Swift + Company manual
+ Following proper uniform and Swift + Company etiquette requirements
+ Other duties may be assigned

+ Familiarity with served product (custom to each event)
+ Bar set up; including but not limited to, knowing the quantity and type of beverage and glassware to be distributed at each bar
+ Ensuring the bar remains neat, clean and meticulously organized
+ Properly chilling the product and distributing to coolers in a timely manner
+ Monitoring all consumption of stock beverages
+ Being professional and courteous to all guests
+ Properly breaking down bar, cleaning up and loading after an event
+ Communicating effectively with the designated Event Manager while informing and updating them regularly to guarantee that the clients objectives are met

ESSENTIAL DUTIES AND RESPONSIBILITIES:

+ Manages list of existing customers provided by the Director of Sales, to nurture existing relationships and secure future business as the need arises
+ Calls on prospects to explain features and costs of services and their respective advantages
+ Enters new orders and completes updates on existing orders for customers
+ Meets with customers in our showroom to determine the event type and recommends appropriate rental equipment, décor equipment and accessories based on the customer’s needs; shows the customer suggested equipment and table displays
+ Prepares rental contracts, reviews terms and conditions of the contract and damage waiver options with the customers and obtains customer signature and deposits
+ Coordinates customer changes with fulfillment and delivery
+ Arranges showroom displays, maintains a clean showroom and keeps shelves organized and stocked with rental equipment
+ Responds to customer service problems and resolves complaints and/or refers complaints to the appropriate department
+ Update and call overdue list daily and alerts supervisor of overdue contracts
+ Meet individual sales goals as set by the department
+ Guide and assist clients in achieving their event vision and consult with them to determine event details
+ Oversee the planning and installation of projects, including being onsite for event installations/breakdowns (might fall in the evening or weekends)
+  Supervise crews on installations and assist with event set ups as needed
+ Create CAD and/or Adobe Illustrator diagrams based on meetings, walkthroughs, and event spaces
+ Attend and market at event industry socials, mixers, conferences, bridal shows, etc.

EDUCATION, SKILLS & REQUIREMENTS:
+ Prior catering, event planning or other hospitality experience a plus
